Booking Form

The Woolton Village Club has established rules for booking their function room. To make a booking, the person must be a member. The following terms and conditions must be accepted by the person named on the booking form.

All bookings must be made in writing and any variations must be agreed upon by the events coordinator, bar manager, or an officer of the Club. The booking is confirmed only when the deposit is paid, and the Club cannot hold provisional bookings.

The maximum capacity of the function rooms is 140 persons seated and standing in the Village Suite and 50 seated and standing in the James Suite, in compliance with the Club’s license. Fire exits and extinguishers must remain clear and visible at all times. Smoking is prohibited except for identified areas. The hirer is responsible for the behavior and conduct of all persons attending the event. If deemed inappropriate, the Club reserves the right to terminate the event without a refund.

To prevent the sale of alcohol to underaged persons, anyone suspected of being under 21 years of age will be asked to provide photographic identification for proof of age. The hirer is responsible for any damage caused by reckless or deliberate action. Consumption of drinks or food not purchased on the premises is not allowed unless there is prior agreement with the Club. A copy of all public liability certificates must be provided by the catering company four weeks before the event. The Club operates a drug-free policy, and illegal drugs must not be brought onto the premises. Any person not following the rules will be asked to leave.

All party packages and services provided by the Club must be paid in full eight weeks before the event. Woolton Village Club accepts no responsibility for the property of persons attending or organising an event, nor any items left overnight on the Club premises.

The hirer must ensure the premises and surrounding areas are left in a clean and tidy condition. Guests and equipment must be vacated within 30 minutes of the hire period ending, and noise levels must be kept reasonable. A £75 refundable deposit must accompany all function room booking requests. This will be refunded three to five days after the event provided everything is in order. The Club reserves the right to recover reasonable costs over and above the deposit paid for any damage caused and any associated cleaning that may be required.

For catering requirements, the hirer should contact the events coordinator. Woolton Village Club accepts no responsibility for food or refreshments provided by the hirer of the function room, and public liability certificates must be provided with at least £2 million cover. Tea and coffee facilities are available for weekday daytime functions, but not for evening functions, at an additional charge.

All outside entertainment must provide public liability certificates to the events coordinator four weeks prior to the function. All venue dressing providers must contact the events coordinator at least four weeks before the function to make arrangements to dress the room. Woolton Village Club accepts no responsibility for any items left on the premises or hire equipment provided by the event organizer. All equipment and venue dressings must be removed from the venue at the end of the function.

Nothing may be attached, nailed, screwed, stapled, or fixed to the walls, doors, or furniture in any way. Media, such as photos or PowerPoint presentations, can be displayed on the TV in the function room via various methods, and any entertainment equipment brought into the building must have a valid Portable Appliance Test Certificate.

In the event of cancellation, the following policy applies: over six weeks prior to the booking date, a full deposit is returned; 4-6 weeks prior to the booking date, 75% deposit return; 2-4 weeks prior to the booking date, 50% deposit return; 0-2 weeks prior to the booking date, no deposit return.
